How Kanbest handles personal information

We collect and use information responsibly to deliver services, respond to clients, manage accounts, protect the platform, and comply with Ghanaian law, including the Data Protection Act, 2012 (Act 843).

Information we collect

  • Contact details such as name, phone number, email address, and location when you make an enquiry or submit a quote request.
  • Property, fleet, or supply-chain request details needed to respond to your service needs.
  • Account information from approved authentication providers, including email, name, and profile image where provided.
  • Website usage information that helps us secure and improve the platform.

How we use information

  • To respond to enquiries, manage service requests, and provide property, fleet, and supply-chain support.
  • To manage client relationships, tenant communications, inspections, maintenance coordination, and administrative records.
  • To send important account, service, or business notifications.
  • To comply with legal, regulatory, tax, accounting, and security obligations in Ghana.

Sharing and protection

  • We may share necessary information with tenants, property owners, verified contractors, service providers, advisors, regulators, or law enforcement where required.
  • We do not sell personal information.
  • We use reasonable administrative, technical, and access-control measures to protect records from unauthorized access, loss, or misuse.
  • We retain information only for as long as needed for service delivery, legal compliance, dispute resolution, and business records.

Your rights

  • You may request access, correction, or deletion of personal information where permitted by law.
  • You may contact us to raise privacy concerns or request clarification about how your information is handled.
  • Requests may be limited where records must be retained for legal, contractual, security, or legitimate business reasons.

Terms and Conditions

Property Management Services Agreement

These Terms and Conditions govern the relationship between Kanbest Global Limited (the "Company") and the Property Owner (the "Client") regarding the management of properties entrusted to the Company.

1 Appointment

  • The Client hereby appoints the Company as the Property Manager for the property/properties listed in the Property Management Agreement.
  • The Company accepts the appointment subject to these Terms and Conditions.

2 Scope of services

  • Property Management: rent collection and tenant management; lease administration and renewals; property inspections and reporting; maintenance coordination and supervision; utility and service charge management; tenant complaint handling; move-in and move-out inspections.
  • Real Estate Services: property marketing and listing; tenant and buyer sourcing; property viewing coordination; sales and leasing support.
  • Facility Management: cleaning and waste management; gardening and landscaping; security coordination; building and equipment maintenance.
  • Additional services may be agreed upon in writing.

3 Client responsibilities

  • Provide accurate ownership and property documents.
  • Ensure the property complies with Ghanaian laws and regulations.
  • Maintain valid insurance coverage where necessary.
  • Pay all management fees and approved expenses promptly.
  • Authorize repairs exceeding the approved spending limit.
  • Provide access to the property when required.
  • The Client shall be responsible for all statutory payments relating to the property unless otherwise agreed.

4 Management fees

  • A management fee of _% of monthly rent collected OR GHS _ monthly.
  • Tenant placement/leasing fees where applicable.
  • Maintenance supervision fees where applicable.
  • Any approved third-party expenses incurred on behalf of the property.
  • All fees are non-refundable unless otherwise stated.

5 Rent collection

  • The Company shall collect rent on behalf of the Client, issue receipts to tenants where necessary, remit rent to the Client after deducting agreed fees and expenses, and follow up on overdue rent payments.
  • The Company does not guarantee tenant payment or occupancy unless expressly agreed in writing.

6 Maintenance and repairs

  • The Company may arrange repairs and maintenance necessary for preserving the property.
  • Emergency repairs may be carried out without prior approval where immediate action is necessary to protect life or property.
  • Repairs exceeding GHS _ shall require Client approval unless emergency conditions apply.
  • The Client bears the cost of all maintenance and repair works.

7 Tenant management

  • The Company reserves the right to screen prospective tenants, verify tenant documentation, prepare tenancy agreements, enforce tenancy obligations, and handle tenant disputes professionally.
  • Final tenant approval may remain with the Client unless otherwise authorized.

8 Property inspections

  • The Company may conduct routine inspections periodically to assess the condition of the property and ensure compliance with tenancy terms.
  • Inspection reports may be shared with the Client.

9 Liability limitation

  • The Company shall not be liable for tenant default or non-payment of rent; damage caused by tenants or third parties; theft, fire, flood, vandalism, or natural disasters; or losses arising from utility failures or contractor delays.
  • The Company shall only be liable for losses resulting directly from gross negligence or willful misconduct.

10 Confidentiality

  • Both parties agree to maintain confidentiality regarding all business, tenant, financial, and property information obtained during the course of this Agreement unless disclosure is required by law.

11 Compliance with Ghanaian law

  • Both parties agree to comply with all applicable laws of the Republic of Ghana, including but not limited to the Rent Act, 1963 (Act 220), Land Act, 2020 (Act 1036), and Data Protection Act, 2012 (Act 843).

12 Term and termination

  • This Agreement shall commence on the effective date stated in the Property Management Agreement and remain valid until terminated.
  • Either party may terminate the Agreement by giving _ days written notice.
  • The Company reserves the right to terminate immediately where the Client breaches payment obligations, the property is used for illegal purposes, or false or misleading information is provided.
  • Upon termination, all outstanding fees and obligations become immediately due.

13 Dispute resolution

  • Any dispute arising under this Agreement shall first be resolved amicably through negotiation.
  • Where unresolved, disputes may be referred to mediation, arbitration, or the courts of competent jurisdiction in Ghana.

14 Force majeure

  • Neither party shall be liable for failure to perform obligations due to circumstances beyond reasonable control, including natural disasters, government restrictions, strikes, civil unrest, or utility interruptions.

15 Amendments

  • These Terms and Conditions may only be amended in writing and signed by both parties.

16 Governing law

  • This Agreement shall be governed and interpreted in accordance with the laws of the Republic of Ghana.
